Privacy Policy

1. Scope and controller

This Policy explains how Entropy Financial Technologies, Inc. ("AUMdb," "we," or "us") handles personal information through the AUMdb website, accounts, subscriptions, support, and research tools. It does not govern source agencies or third-party sites.

2. Information we collect

  • Account identifiers: name, work email, encrypted credentials, confirmation status, and consent version.
  • Security and device data: sign-in timestamps, IP addresses, failed attempts, essential session cookies, browser details, and service logs.
  • Commercial data: subscription status, Stripe customer and subscription identifiers, billing period, and export usage. Stripe receives and stores payment-card details; AUMdb does not.
  • Research activity: saved searches, saved firms, notes, alert preferences, filters, and export history.
  • Communications: support, privacy, correction, and other messages you send us.
  • Public professional data: information about advisers, organizations, and associated professionals obtained from public regulatory filings and linked public sources.

3. Sources

We receive account and communication data from you; billing status from Stripe; technical data from your device and our infrastructure; and professional-profile data from government and regulatory sources such as SEC/IARD, SEC EDGAR, Department of Labor Form 5500, and IRS filings.

4. How we use information

We use information to provide and personalize the service; authenticate users and prevent abuse; process subscriptions; save, monitor, and export requested research; send transactional messages and requested alerts; answer support and rights requests; maintain source provenance and correct presentation errors; analyze reliability and product performance; enforce agreements; and comply with law.

5. How we disclose information

We disclose limited information to infrastructure, database backup, email, security, support, and payment providers acting for us; to professional advisers under confidentiality; when required by law or necessary to protect rights and safety; in a merger, financing, reorganization, or sale; or with your direction. We do not sell account personal information or share it for cross-context behavioral advertising.

6. Cookies and communications

We use essential cookies for sign-in, security, preferences, and request integrity. We do not currently use third-party advertising cookies. Account confirmation, security, billing, and service notices are transactional. You can disable saved-search alerts in the product.

7. Retention

We retain account and saved-research data while your account is active. When you delete an eligible account, we delete or de-identify that workspace data except records reasonably needed for billing, fraud prevention, security, dispute resolution, legal compliance, and backup rotation. Public-source profiles remain according to our source and correction practices rather than account deletion.

8. Security

We use administrative and technical safeguards appropriate to the information we handle, including encrypted transport, password hashing, email confirmation, sign-in throttling and lockout, limited access, signed billing webhooks, and backups. No system is completely secure; notify us promptly if you suspect unauthorized access.

9. Your choices and rights

You can update login details or delete an eligible account from account settings. Depending on where you live, you may also request access, correction, deletion, portability, restriction, or an appeal, and may opt out of certain sales, sharing, or targeted advertising. We may verify your identity and retain information where an exception applies. We will not discriminate against you for exercising an applicable privacy right.

To make a privacy request or authorize an agent, email support@entropyfa.com. To report an error in a public-source profile, identify the profile, disputed field, and supporting source.

10. California notice

For California residents, the categories described above correspond to identifiers, internet or electronic activity, commercial information, professional information, and inferences from saved research. We collect and disclose them for the business purposes described in this Policy. We do not sell or share account personal information as those terms are defined by California law. If AUMdb becomes subject to additional California reporting requirements, we will update this notice and rights process.

11. Children and international users

The service is for business users age 18 or older and is not directed to children. AUMdb is operated in the United States; users outside the United States understand that information may be processed in the United States, subject to applicable safeguards.

12. Changes

We may update this Policy as the service or law changes. We will post a new effective date and provide additional notice when a change is material.
